What type of information does the NCUB website collect and why?
If you choose to sign up for our monthly newsletter by adding your email address into the automated form on our website, your data will be securely stored. We will use this data to send you our newsletter, and we will not pass your data to any third parties. You can unsubscribe from the NCUB newsletter at any time by clicking the unsubscribe link in the newsletter.
What type of personal information does the NCUB hold on members and why?
If you work for an organisation that is a member of the NCUB, we may ask you to provide us with personal information in order to send you key information. This may include:
- your name;
- the organisation for which you work;
- your work e-mail address;
- your work postal address;
- your contact and marketing preferences;
- information necessary for processing of invoices and or issuing you a payment.
This information will be collected primarily from you as information voluntarily provided to us, but we may also collect it where lawful to do so from public sources, third party service providers, authorised individuals in your organisation, government, tax or law enforcement agencies.
The information we hold on our members is stored in a secure, encrypted CRM system.
How does the NCUB use information about members?
The NCUB uses information about members for the following purposes:
- to respond and/or deal with requests or enquiries;
- to send you information by email or by post;
- to contact you by phone;
- for internal record keeping;
- for compliance with legal, regulatory and other good governance obligations.
This list is not intended to be exhaustive and may be updated from time to time as business needs and legal requirements dictate. Some of the personal information that the NCUB maintains will be kept in paper files which are securely locked, while other personal information will be included in computerised files and electronic databases which are securely encrypted.
Does the NCUB share personal information with third parties?
Your personal information will only be made available for the purposes mentioned above to staff who properly need to know these details for their functions within the NCUB. For example, your work email address may be passed to another employee in NCUB to invite you to an event.

We only process personal information where we have a lawful basis for doing so, such as in the following instances:
User consent – This is where you have given us explicit permission to process personal information for a given purpose. For example, if you subscribe to our newsletter, we ask for your consent to use your email address to send you the newsletter. Legitimate business purposes – This is where we have a legitimate interest, as a business to process personal information. For example, we store the postal addresses of our members in order to post them correspondence, such as our latest reports.
Contractual necessity – This is where we have to process personal information to meet our contractual obligations. For example, if you are a member, we hold details given to us by your finance department to process invoices.
Legal obligation – This is where we have to process personal information in order to comply with the law. For example, we process and retain customer invoice information to comply with financial regulations.
What safeguards are in place to protect your personal information?
We safeguard your personal information in line with the GDPR, by ensuring that personal information is stored in a secure CRM which is password protected. Employees of NCUB who have email correspondence with you have emails stored on secure, password protected devices. All NCUB staff undergo data protection training.
What rights do you have to review and amend personal information?
You have the right to request the personal information the NCUB holds about you and to have inaccurate information corrected. To do so please contact us at firstname.lastname@example.org
We will keep your details on record for as long as is necessary for us to carry out our work of uniting businesses and universities. If you leave your job at a member organisation, please email us at email@example.com and we will delete your information. If you have registered to receive the NCUB monthly newsletter, we will continue to hold your email address securely for this purpose until you unsubscribe.
Changes to this Policy
We keep this Policy under regular review. We may change this Policy from time to time by updating this page in order to reflect changes in the law and/or our privacy practices. The date at the top of this Policy will be updated accordingly.
We will notify you of any modified versions of this Policy that might materially affect the way we use or disclose your personal information.
